Find common ground
Ask each traveler about essential destinations, mobility, room preferences, and budget. Separate genuine requirements from ideas that would merely be nice to include. If the group has very different priorities, a core itinerary with optional periods may work better than adding everything. Some requests have fixed limits: the Scavi tour under St. Peter's is booked months ahead in small groups, age 15 and over, and catacomb visits are guided tours of about 30–45 minutes with stairs.
Agree on decisions
Choose a lead contact and a practical way to approve changes. Clarify who has authority to accept a proposal and how each traveler receives the final terms. Deposits are commonly $500–$1,000 per person and final payment is due 90–120 days before departure, so the group needs a decision calendar that works backward from those dates. Avoid having one enthusiastic person commit others to costs they have not reviewed.
Keep the pace workable
Private travel still involves opening hours, transport constraints, and real distances. St. Peter's opens at 7:00 a.m. and the Vatican Museums are closed on Sundays except the last Sunday of the month; Rome to Assisi is about 2.5 hours by coach; Kraków to Jasna Góra is 2–2.5 hours each way. Papal Audience tickets are free through the Prefecture of the Papal Household but are not a private meeting. Protect rest and make alternate activities clear. A tailored itinerary should reduce friction for the people traveling, not turn the journey into a complicated collection of exceptions.
Can a private family group arrange a pilgrimage?
Yes. Small-group departures commonly operate with 10–16 travelers, and some operators will design a private itinerary for fewer, priced accordingly. Rooming, age range, mobility, and budget should shape the route from the beginning; for example, the Auschwitz-Birkenau Memorial does not recommend its visit for children under 14, and the Scavi tour under St. Peter’s is limited to ages 15 and over.
Start with the people who will travel rather than a list of every desired shrine. A workable shared pace matters more than the number of countries visited. Every traveler, including infants, needs a passport, and most operators require 6 months’ validity beyond return.
